Who we are
Extract.FAST is operated by Tools Fast Group (ABN 95 273 980 219), an Australian business, as part of the Tools.FAST network. This policy explains what we collect, how we use it, and the rights you have.
What we collect
Files you upload, used only to run your extraction. A small job record (extraction type, file sizes, processing time, credits used) for billing and abuse prevention. Account details, including your email, sign-in identifiers, name, and profile picture URL if provided by Google sign-in. Cookieless, aggregate usage statistics. IP addresses are stored only as irreversible HMAC-SHA256 hashes, never in the clear.
How we use your data
We use your data solely to provide the extraction service — to process your files, deliver your results, run billing, and keep the service secure. We do not use your files for AI training, analytics, profiling, or any purpose beyond the extraction you requested.
Where your data is processed
Most standard extraction happens entirely on infrastructure we operate in the European Union, with your files streaming encrypted to our servers in Germany. Some requested features use specialist providers for a narrow part of the job: GPS map reports may send GPS coordinate values to Mapbox from our servers to render map imagery and temporary place labels. Those Mapbox requests are not sent with your browser session or Extract.FAST account identity, and we do not send your photos, filenames, or ZIP contents to Mapbox. AI-powered features such as transcription, speaker separation, meeting intelligence, and generated titles send only the needed data to specialist providers for the part of the job you requested: fast and quality transcription use GroqCloud with Zero Data Retention enabled, meeting intelligence and speaker separation may use Replicate, and AI analysis and generated titles use Azure-hosted AI inference on Microsoft infrastructure. Data retention
Your uploaded files and the outputs we produce are automatically deleted about an hour after your extraction finishes, with no backups. We retain only the small job record described above, for billing and abuse prevention.
Cookies and analytics
We use essential cookies for sign-in, CSRF protection, and remembering your cookie choice. Extract.FAST does not use advertising cookies, tracking pixels, cross-site tracking, or personal profiles. If optional analytics is enabled, it must be privacy-first and must not use tracking cookies.
Third parties
We share data only with the providers needed to run the service: Stripe for payments, Google for optional OAuth sign-in, Mapbox for GPS map reports, GroqCloud for fast and quality transcription with Zero Data Retention enabled, Replicate for meeting-intelligence transcription or speaker separation when requested, and Microsoft infrastructure for Azure-hosted AI inference used by meeting analysis and generated titles. The Subprocessors page lists each provider and when it applies. For GPS map reports, Mapbox receives GPS coordinate values only for map imagery and temporary place labeling. The request comes from Extract.FAST servers, not your browser session, and we do not send your photos, filenames, Extract.FAST account identity, or ZIP contents. We do not sell your data to anyone.
Your rights and contact
Under GDPR you have the right to access, delete, export, and object to the processing of your data, and to lodge a complaint with a supervisory authority. To exercise your rights, email [email protected] — we respond within 30 days. Extract.FAST is not intended for children under 16. We'll post any changes to this policy on this page.

Do you sell my data?
No. We never sell your data, and we don't use your files for advertising, profiling, or AI training. Your files are processed only to run the extraction you requested.
